Returns & Quality Claims

Our protocols for handling weight discrepancies, quality issues, and transit damage.

1. Inspection Upon Arrival

The Buyer is responsible for inspecting the goods immediately upon arrival at the destination port or warehouse. Any visible damage to the container or packaging must be noted on the delivery receipt (Bill of Lading) before signing.

2. Quality Claims

DCA Trading guarantees that goods will match the grade specifications (AFI Standards) listed in the Proforma Invoice.

  • Timeframe: Quality claims must be submitted in writing within 14 days of container discharge.
  • Evidence: All quality claims must be supported by an inspection report from an independent, accredited surveyor (e.g., SGS, Cotecna, or Intertek).
  • Samples: We reserve the right to request sealed samples from the lot in question for counter-analysis in our lab.

3. Weight Discrepancies

We allow for a standard franchise (weight loss) of 0.5% due to moisture evaporation during transit. Claims for weight shortages exceeding 0.5% must be verified by an official weighbridge ticket.

4. Non-Returnable Items

Due to food safety regulations, we cannot accept returns for:

  • Goods that have been processed, roasted, or repacked by the buyer.
  • Goods stored in improper conditions (e.g., humidity > 65% or temperature > 25°C).
  • Sample Kits (these are non-refundable).

5. Settlement

Valid claims will be settled via: 1. Replacement of affected stock in the next shipment. 2. Credit Note applied to your account balance. 3. Direct refund (only if no future orders are planned).
